Administrative Assistant

Job Summary

  • Administrative Assistant will perform a variety of administrative tasks, office management, time management and customer service.
  • Reports to: The Seminary Provost.

Responsibilities

  • Assist with daily administrative tasks, including filing, data entry, and record-keeping.
  • Manage calendars, schedule appointments, and coordinate meetings.
  • Prepare and distribute correspondence, memos, and reports.
  • Handle incoming calls and emails and respond to inquiries.
  • Coordinate travel arrangements and accommodations for staff and guests.
  • Order office supplies and maintain inventory levels.
  • Assist with project management tasks, such as tracking deadlines and deliverables.
  • Provide support to managers and employees as needed.
  • Rack daily expenses and prepare weekly and monthly reports for accounts.
  • Take minutes during staff and Board meetings.
  • Research, collate and create presentations for seminary dissemination.
  • Perform other administrative duties as assigned.

Requirements and skills

  • Committed Christian living a life of holiness.
  • Diploma in Secretarial studies, Front office operations, or Business Administration/Mgt.
  • Three (3) years experience as an Administrative Assistant or in a similar role.
  • Excellent MS Office suite knowledge.
  • Outstanding organizational and time management skills.
  • Familiarity with office gadgets and applications (e.g. e-calendars/machines)
  • Excellent communication and interpersonal abilities.
  • Ability to multitask, attention to detail and prioritise tasks effectively.
  • Ability to work independently with minimal supervision.
  • Fluent in English and Swahili.
